Information We Collect

The information you have supplied is necessary to determine if you have a ‘Right To Rent’, or eligibility to let, sell and purchase, and enable performance of a contract with you.

Any information that is given to us on behalf of someone else, you are confirming that you have shown them and they also agree to how their personal information may be used.

Your Agent/Landlord reserve the right to share the information to: credit referencing agencies, to any council authorities, utility service companies, Tenancy Deposit Scheme, maintenance contractors who may need your details for access to your property, any company providing services throughout your tenancy and any person sharing your tenancy, any other third parties who have a legitimate interest (including law enforcement and regulatory bodies, Government agencies) if we are under a duty to disclose or share your personal details in order to comply with any Legal obligation, to defend or exercise our legal rights, Anti-Money Laundering Checks for which are legally obliged to collect personal data for checking identities.

Any communication you have with us may be recorded and monitored to ensure we are offering great customer service and are complying with our legal responsibilities as an Agent.

Any data provided by you and shared with the above mentioned will be made in accordance with the GDPR and will be retained for the term of sales transaction contract and then for the statutory six years; Rental and management property data is kept for as long as the property is let then for a further six years; For all other, we keep personal data for as long as we have their consent to send either direct marketing material or information on properties that have been requested or meet their search criteria.

It is important that the personal data we hold about you is accurate and current. Please keep us informed if your personal data changes during your relationship with us.

Direct Housing Ltd. do not offer broadband, utilities, conveyancing, mortgages or insurance advice although we can make recommendations of local providers when we have the appropriate consent from applicants.

Categories of Data Processed

• Name, telephone number, address, email address and approximate budget if relating to a purchaser or tenant. Also details from solicitors, estate agents, and surveyors’ details if and as required.

• No sensitive data is collected, i.e. race, religion, life-style. Under the Immigration Act, we do take details of nationality which is kept for 6 years after a tenancy ends.

• Where we take a credit card payment, details are destroyed immediately after use.

• To check personal Identity of vendors, landlords, purchasers and tenants, we record that we have taken photocopies of passports or driving licence and a letterhead from an official organisation, Bank, Building Societies, Government bodies etc.

• Signed contracts enabling us to sell or rent a property.

• Signed brochure to indicate that vendors agree with the accuracy of our sales brochure for further advertising.

• Proof of funds including bank statements and building society statements and Mortgage agreement in principle. Personal financial data is processed by Financial Advisers, mortgage lenders etc., who confirm to us if purchasers have sufficient funds for purchase.

• Records of correspondence are kept in server and in hard copy. (Unfortunately, the transmission of information via the Internet is not completely secure. Although we will do our best to protect personal data, we cannot guarantee the security of transmitted data. Any transmission is at user’s risk. Once we have received information, we will use strict procedures and security features to try to prevent unauthorised access.)

• Our website contains some links to third party websites. We do not accept any liability for them or any third-party websites which may be linked or accessible through our own website and we do not endorse or approve the contents of any such sites.

You acknowledge that you are solely responsible for the use to which you put this website and all the results and information you obtain from it and that all warranties, conditions, undertakings, representations and terms whether expressed or implied, statutory or otherwise are hereby excluded to the fullest extent permitted by law.
